The formula

  • Idle hours per vehicle = Idle time per vehicle × Operating days
  • Fleet idle engine hours = Idle hours per vehicle × Vehicles in scope
  • Litres burned standing still = Fleet idle engine hours × Idle burn rate
  • Idle fuel cost = Litres burned standing still × Fuel price

Assumptions and limits

  • The avoidable share is an input, not a finding. The calculator multiplies by the number you typed. If you do not know it, the honest output is a range, so run the tool at both ends of your guess.
  • Idle burn is one flat rate. In reality it climbs with engine displacement, cab climate load and anything driven off a PTO, and a cold morning warm-up burns unlike a summer queue.
  • Servicing cost per engine hour is a blunt instrument. It spreads maintenance evenly over hours, whereas idle hours arguably load an engine differently than road hours do — wet stacking and injector fouling are real, and this model does not attempt to price them.
  • Nothing here accounts for what idling buys you. A refrigerated body, a working tail lift, a heated cab in freezing weather and a legally mandated rest period all cost fuel and are not waste.
  • Emissions and idling fines are excluded. Some cities enforce anti-idling rules, and where they do, the penalty is a cost this model never sees.
  • The figure is annual and steady-state. It cannot show you that half your idle hours happen at one loading bay on Tuesdays, which is the thing you would most want to know.

Idling is invisible in every metric that matters

Cost per kilometre hides it. Litres per hundred kilometres hides it. Both divide by distance, and an idling vehicle produces no distance, so the litres it burns get quietly attributed to whatever driving it did before or after. The vehicle just looks thirsty and nobody can say why.

That is what makes idle time the most underpriced waste in a fleet. It has no invoice, no incident report and no line in the monthly pack. It only exists if somebody measures engine hours against moving hours, and most fleets that have the data have never pulled the two apart.

The second bill: engine hours

Service intervals on commercial vehicles are often set by engine hours, not just distance. An engine that runs 400 hours a year going nowhere reaches its next service earlier, and every service is parts, labour and a vehicle off the road. The fuel is the visible cost. The compressed maintenance schedule is the one that catches people out.

Extended low-load idling is also not neutral for the engine itself. Running cool and unloaded for long stretches is associated with incomplete combustion and deposit build-up in diesel engines. Pricing that properly needs your own failure history, which is why this calculator uses a simple cost per engine hour and says plainly that it is an approximation.

Most idling is somebody else's problem to fix

The instinct is to coach drivers, and it is usually the wrong first move. A driver idling forty minutes at a distribution centre is not making a decision about fuel. He is waiting for a bay, a checker, or a signature. The idle hours are a symptom of a scheduling problem that belongs to whoever owns the booking window.

So split the number before you act on it. Idle time at a customer's site, at your own gate, at the weighbridge and at the roadside are four different problems with four different owners. The share you can genuinely remove is the share that sits inside your control, and that is exactly why this calculator makes you state it rather than guessing it for you.

Frequently asked questions

It depends on the engine and what it is driving, and we are not going to hand you a figure to type in as fact. A small van engine ticking over and a heavy truck engine running a cab heater and a PTO are not in the same range. Measure it: park a vehicle with a full tank, idle it for a measured hour, and refill. Do that once per vehicle class and you will have your own numbers instead of somebody else's.

No, and treating it that way will get your policy ignored. A refrigerated trailer holding temperature is doing the job. A driver taking a mandated break in a cab at minus five is not going to switch the engine off, and should not be asked to. Roadworks, ferry queues and site inductions are not decisions your drivers made. The avoidable share field exists precisely because this distinction cannot be automated.

This is the argument every driver makes, and it stopped being true a long time ago. The fuel used in a restart is small compared with sustained idling, and modern starters and batteries are specified for the duty. There are legitimate exceptions: a very short wait, an engine that needs to reach temperature, or a vehicle where restarting drops a critical system. But the general claim is folklore.

Because working it out would require knowing your loading bays, your customers' turnaround times, your climate and your rest-break patterns, and any answer we produced without those would be a made-up number wearing a decimal point. You know which of your idle hours have a name and a fix attached. The model does the arithmetic; the judgement stays yours.

Idle hours become actionable when each one carries a location, a time and a trip, so you can see that eleven vehicles idled at the same gate between 06:00 and 07:00.
