    The receiver did not choose you, is not paying you, and will rate the experience publicly. The promised window is the product. Missing it by forty minutes damages your client's brand, which is the thing your client is actually buying.

  • A failed first attempt costs the drop twice

    Nobody home means the parcel travels back to the depot, gets re-sorted, and rides out again tomorrow on someone else's route. Driver time, fuel and depot handling are all spent a second time for the same single fee.

  • The round is won at the kerb, not on the road

    The gap between sixty and ninety drops in a shift is where the van parks, which side of the street the sequence puts it on, and whether the driver walks a block. Driving is the small part of a dense round.

    Peak season and agency cover mean a constant stream of people who have never seen your depot. There is no training week. If they cannot be productive on day one with a phone, they will not be productive.

A day that starts before the city does

Sorting finishes overnight and the round is built for a van that has to leave in a wave. Sequence matters more here than anywhere else in freight, because a delivery round is not a journey with stops on it. It is eighty micro-jobs with a short drive between each, and the drive is the cheap part. Order the drops badly and you have not added distance, you have added a hundred three-point turns and a driver crossing the same street eleven times.

Then the driver works the round alone, on a phone, at speed. Every stop is the same loop: find the address, find somewhere legal to stop, get the parcel to the door, record what happened. When somebody answers, that is a signature or a scan. When nobody does, the decision to leave it with a neighbour, put it in a safe place or take it back is made in seconds by a person on a doorstep, and the photograph they take is the only version of that decision anyone will ever have.

The round comes back and has to reconcile. What went out, what was delivered, what was refused, what is still in the van and why. That last category is the expensive one and the one most often waved through at the end of a long shift, so KO Fleetz makes the still-in-the-van count a line the round cannot close without. Nowhere else in fleet does drop sequencing carry this much of the economics. A haulier plans a route to save fuel. A last-mile operator plans a round to fit more doors into a shift, and the constraint set is kerbside: parking, one-way systems, access windows and the walk from the van to the door. You are onboarding people continuously, often through an agency, often at the worst time of year. The system has to be learnable in one shift by someone who has never met you, and it has to check that whoever is holding the keys is licensed to hold them, a control that gets skipped precisely when hiring is fastest.

Where a last-mile operation plugs in

Parcel and order systems supply the manifest and take delivery outcomes back, because the scan at the door has to land in whichever system is telling the buyer their parcel arrived. Customer notification tools consume ETA and status. Sortation and depot systems reconcile what was loaded against what was returned. Locker and pick-up point networks become stops on the round like any other. Charge point management matters on electric rounds, since a van's state of charge overnight is a dispatch input by morning. Agency and workforce systems feed the driver record.

Often, and less than the demo suggests. The honest version is this: the algorithm is very good at the parts it can see, meaning sequence, one-way systems, access windows and drive time between points. It cannot see that the third block has no legal stopping place before nine, that the flats at number 40 need a code the driver was given last Tuesday, or that a particular depot loads in an order that fights the sequence. Experienced drivers hold that knowledge. The gain comes from feeding it back into the plan, not from overruling it.

It is evidence, not proof, and the difference matters when a claim lands. A timestamped photograph with a GPS coordinate and the van's position history around it is a strong account of what happened at that door. It is not a signature from a named recipient, and for high-value or age-restricted items you should still be capturing one. Where photo capture genuinely earns its place is the safe-place drop, which otherwise leaves no record at all and is the single largest source of disputed deliveries. It attacks some causes and not others. Accurate ETAs and a notification that arrives while there is still time to act help a receiver be there. Reliable access notes stop the same gate defeating three different drivers. A driver who can offer a neighbour or a nominated safe place at the door converts an attempt that would otherwise have failed. What it will not fix is a receiver who is simply out at work all day. For those the answer is a locker or a pick-up point, and the round should be planned to include them rather than attempting the door twice.

It applies more, not less. Whoever is behind the wheel of your van is your operational exposure regardless of how they are engaged, and the busiest weeks, when the check is least likely to happen properly, are exactly the weeks it matters. The driver record holds licence details and expiry dates and flags them ahead of the date. Note that responsibility for engagement status and worker classification is a matter for your own advisers. Partly, and be clear on which part. State of charge and consumption can be read where the vehicle or its telematics unit publishes them, so you can see which vans came back with what and which rounds consistently finish tighter than planned. That is enough to plan rounds against real winter range rather than a specification sheet. Depot charger scheduling and load balancing are the job of a charge management system, and the sensible arrangement is that it owns the chargers and shares state of charge with the dispatch view.

As little as possible, because every extra tap is multiplied by eighty and paid for in shift length. A stop should be a scan, an outcome and a photo where relevant. Anything more, a form or a survey or a mandatory note, will be either skipped or filled with nonsense by the fourth hour, and data entered to make a screen go away is worse than no data. If a workflow needs more than that, question whether it belongs at the door or at the depot.
