Reporting is a Monday morning and somebody's spreadsheet

It begins with four exports: the tracking platform, the workshop system, the fuel card portal and a personnel list. Someone joins them on registration numbers with a lookup formula, accepts that eleven rows will not match, and produces a workbook by Tuesday. The workbook is good. It is also one person's, saved on one laptop, rebuilt weekly by hand, and describing a week that has already finished.

The deeper failure is that the numbers disagree with each other, and everybody can tell. Distance from the odometer does not match distance from the tracker. Downtime means whatever the person building the tab decided it means. Two people produce two defensible figures for cost per kilometre and neither is wrong, because neither stated the denominator. It varies by measure and we would rather say so than quote a single number. Fuel and toll data are dated transactions and become useful almost immediately. Utilisation needs enough weeks to see your work pattern, including a peak. Maintenance comparison needs both vehicles to have been through a service cycle, or the one that has not yet simply looks cheap. Expect roughly a quarter before per-vehicle comparisons hold, and a full year before seasonality stops bending trend lines out of shape.
