The monthly pack everybody receives and nobody reads
It runs to forty pages. It arrives on the ninth. It holds every number anyone has ever asked for, arranged by whoever built the template three years ago and has since left. The fleet manager reads two charts. The rest survives because removing it would mean a conversation with the person who requested it.
The real failure is not length, it is timing and altitude. By the ninth the month is closed and the problems are history. And the figures are averages: fleet consumption, fleet cost per kilometre, fleet availability. An average is the one number guaranteed to hide the vehicle you needed to hear about, because the healthy assets carry the sick ones up into a respectable middle.
So the actual reporting happens somewhere else. Someone builds a personal spreadsheet, pulls two exports every Monday, and keeps a private list of problem vehicles in their head. It works, roughly, right up until they take a fortnight off.

The dashboard is a way into the data rather than a layer painted over it, which is why its numbers never need reconciling against the modules underneath.
One point worth being blunt about: a dashboard creates nothing. KO Fleetz surfaces what the modules beneath it capture, and no more. Frequently asked questions
Fewer than you think. The ones that survive contact with a real fleet are cost per kilometre, utilisation, unplanned downtime, consumption against a per-model expectation, service compliance and on-time performance. Six numbers a manager can hold in their head beat forty nobody opens. The test for adding a seventh is simple: name the decision it changes and the person who makes that decision. If either has no answer, it belongs in a report, not on the dashboard.
Partly, and it will tell you so. Each KPI declares its coverage, so a fleet running fuel management alone gets live fuel and cost-per-litre tiles while the maintenance tiles sit visibly empty rather than quietly showing zero. That is deliberate. A dashboard rendering an encouraging tile from a third of the fleet is worse than a blank one, because somebody will eventually make a decision on the strength of it.
KPI selection, tolerance bands, grouping and comparison periods are configurable, and views save per role. It is not a general-purpose BI tool and does not try to be. You cannot write arbitrary queries or join in data from outside the platform. Fleets needing that take an export or an API feed into whatever they already run. This dashboard's job is the daily operational view, and being narrow is exactly what makes it quick to read.
Cost management is a system of capture and analysis: it collects spend against assets and cost centres and answers financial questions in depth. The dashboard is a surface. It carries a handful of cost figures next to utilisation, downtime and consumption, so cross-domain patterns appear — the vehicle that is expensive because it is always in the workshop, rather than expensive in isolation. Where did the money go is a cost management question. What needs attention today is this one.
Not exactly, and expecting them to will burn a lot of everyone's time. Finance reports on an accounting basis, with accruals, period cut-offs and invoices dated when they were raised. KO Fleetz reports on an operational basis: cost lands on the day the work happened. The same repair can therefore appear in different months in the two systems. Totals converge over a quarter. Where reconciliation genuinely matters, export the operational detail and let finance map it.

Costs arriving as third-party files — tolls, card statements, supplier invoices — update when the file lands, which may be weekly or monthly and is outside our control.
