The register lives in a spreadsheet. The insurance dates live in a folder on the finance drive. The keys live with whoever had the vehicle last, and the only person who knows the chassis number of the 2019 tipper is the workshop supervisor, who is on leave. None of this is unusual. It is what happens when a fleet grows one vehicle at a time.

The cost shows up at the worst moments. A vehicle goes out with a permit that lapsed on Tuesday. An asset gets insured twice because two branches each added it. A truck sits at a customer site for six weeks and nobody notices, because it was never assigned to anyone in particular.

Then an auditor asks for an asset list reconciled against what is physically on the yard. The exercise takes two weeks, produces four vehicles nobody can immediately locate, and everyone agrees this should be fixed properly. The following year it takes two weeks again.

One record, and everything else writes to it

What this module deliberately does not do is judge the asset.   1. Step 1: Load the register

    Vehicles import from your existing spreadsheet or asset ledger. Validation flags duplicates, missing chassis numbers and dates that have already expired.

  2. Step 2: Attach the documents

    Insurance, permit, fitness and tax records go onto the vehicle with their expiry dates. The date becomes the system's problem rather than a diary entry.

  3. Step 3: Assign custody

    Each vehicle gets a current holder, a depot and a cost centre. Assignment moves when the vehicle moves, and the previous holder stays in the history.

  4. Step 4: Let the modules write back

    Maintenance, fuel, tracking and trip records attach themselves as events happen, so the record deepens without anyone being paid to maintain it.

In most fleets it replaces three things at once: the register spreadsheet, the folder of scanned insurance and permit documents, and the informal knowledge held by whoever has been there longest. The first two migrate easily. The third is the reason the work is worth doing. When one supervisor is the only route to a chassis number or a service history, the fleet has a single point of failure that takes annual leave.

Vehicle management answers what you own and what state it is in today. Lifecycle management answers when to buy, when to redeploy and when to sell — decisions about the future, built on cost and age curves. They share the same record deliberately. Yes, and the distinction is a field on the record rather than a workaround. Owned, financed, leased, short-term hired and customer-supplied assets all carry the same operational data — trips, fuel, incidents — but different commercial data. A hired vehicle has an off-hire date instead of a resale value. This matters at month end, because depreciation applies to the assets you own and rental charges apply to the ones you do not.

KO Fleetz retires it rather than deleting it. The record leaves the active register so it stops appearing in dispatch lists and utilisation counts, but its history stays intact. That matters more than it sounds. A warranty claim, an insurance dispute or a tax question can arrive a year after disposal, and the answer sits in maintenance and trip records that would otherwise have left with the vehicle.

Odometer readings are the usual weak point. A number typed at a fuel stop can be transposed, and one bad reading distorts every service interval that depends on it. The platform range-checks entries against the last known value and against GPS-derived distance, then flags what does not fit rather than silently accepting it. It cannot invent a reading nobody took. On vehicles without a tracking device, the record is only as current as the last human entry.

Less than the spreadsheet it replaces, but not zero. Setup is real work: loading the register and attaching documents takes a few days for a mid-sized fleet. After that most of the record maintains itself, because the maintenance, fuel and tracking modules write to it as events occur. What remains manual is the part with no data source behind it — a change of custodian, a renewed permit, a corrected specification.
