Most fleets discover fuel loss the same way: the monthly cost per kilometre creeps up, someone runs the numbers, and the gap between fuel purchased and fuel burned is too large to explain away. Fuel card reconciliation does not close the gap either. A card statement proves fuel was bought and paid for. It cannot prove the fuel entered the tank of the vehicle on the receipt, and it says nothing at all about what left the tank afterwards.

Step 1: Fit the sensor and set the baseline
A fuel sensor is calibrated against the tank's real geometry. Tanks are not cuboids, so a linear reading would misreport volume at the extremes.
Step 2: Establish the normal curve
The platform learns what ordinary consumption looks like for that vehicle, route and load before it starts calling anything an anomaly.
Step 3: Alert on the exception
Drops that break the curve raise an event with location, time, engine state and volume. The supervisor gets it while it still matters.

Consumption is gradual and correlates with the engine running and the vehicle moving. Siphoning is a steep drop in a short window, usually with the ignition off and the vehicle stationary. KO Fleetz evaluates rate of change against engine state, speed and position together — any one of those signals alone would produce false alarms.
Those are real physical effects and the detection logic expects them. Fuel moves when a vehicle brakes, corners or parks on a gradient, and it expands as it warms through the day. These produce a characteristic signature — level returns once conditions settle — which is treated differently from a genuine loss of volume.
A dedicated sensor is strongly preferable. The factory gauge is designed to tell a driver roughly how much is left; it is heavily damped and low-resolution, which is exactly wrong for detecting a fast drop. Some OEM telematics feeds expose tank percentage and can indicate coarse anomalies, but litre-level detection needs a calibrated sensor.
This is the short-fill case, and it is caught by refill verification rather than drop detection. The sensor records how much volume actually entered the tank. When that is reconciled against the card transaction or receipt, a 60-litre purchase that delivered 45 litres becomes visible as a discrepancy on that specific refill.
It can, which is why device health monitoring matters as much as the fuel signal itself. A sensor that stops reporting, or reports an implausible constant, raises its own alert. A silent sensor is treated as a problem rather than as an absence of problems.
Calibration is the prerequisite and happens at installation. Detection needs a short baseline period to learn that vehicle's normal consumption pattern for its typical routes and loads. Thresholds continue to tighten as events are resolved and the system learns which alerts were real.
