The truck left. Nobody wrote down what was on it.

Loading finishes at half past ten at night. Eleven consignments went up the ramp, or twelve — the hamali counted, the supervisor half-counted, and the LR numbers were called out across a yard with a generator running. The driver leaves with a bundle of LRs held together by a rubber band. That bundle is the manifest. It is also the only list, and it is now travelling at sixty kilometres an hour away from the people who need it.

The receiving hub finds out what arrived by unloading it. There is no list to check against, so short-landing is discovered as an absence: a consignment that should be here, isn't, and nobody at either end can say whether it was ever loaded. The origin branch swears it went. The destination branch swears it never came. Both are working from memory and both are certain.

Meanwhile the office cannot answer a simple planning question. A 40 ft going out half empty is money burnt, and part loads only make sense if someone can see what is already committed to a movement before the next booking is put against it. Without a manifest, consolidation is done by the person on the ramp deciding what looks like it will fit. That decision is being made at the worst possible moment by the person with the least information.

The loaded list becomes a document, not a rubber band

The manifest and the consolidated e-way bill describe the same truck on the same journey, and the platform keeps them separate on purpose. One is your operational document, listing consignments so a hub can receive them. The other is a statutory record raised on the government portal against a set of e-way bill numbers. They overlap in the data they draw on, and they are not substitutes. A hub does not receive against an EWB, and a check post does not accept a manifest.

  1. Step 1: Pick the movement

    A vehicle, a route and a despatch date. The manifest is opened against that movement, and everything loaded onto it belongs to that one journey.

  2. Step 2: Add the LRs going together

    Assigned consignments for that lane are pulled onto the manifest as lines. Packages and weight roll up, so the load is a total rather than an impression.

  3. Step 3: Close and print

    The manifest closes when loading finishes. The driver carries it with the LR copies, and the origin branch now has a written record of what went.

  4. Step 4: Receive at the hub

    The destination checks arrivals against the lines. Short or damaged consignments are marked at the ramp, against a list both branches can see.

Frequently asked questions

An LR is about one consignment: this consignor handed over these goods for this consignee on these terms. A manifest is about one vehicle movement: these are the consignments riding together tonight. One truck carrying eleven part loads has eleven LRs and one manifest. A dedicated full load has one of each. The LR follows the goods to the consignee. The manifest belongs to the journey and stops mattering once the vehicle is unloaded.

No, and treating them as interchangeable causes real trouble at a check post. Both describe one vehicle carrying several consignments, but the consolidated e-way bill is generated on the government portal against individual EWB numbers and is what the officer wants to see. The manifest is your own operational document, listing LRs so a hub can receive against them. Same truck, same movement, two different pieces of paper answering to two different audiences.

Less than a part load operator does, and it still earns its place. A single-consignor full load produces a one-line manifest, which looks trivial until the vehicle is doing a multi-drop or the customer's own godown wants a loading sheet at the gate. If every one of your movements is genuinely one consignor to one consignee in one drop, the LR is already carrying most of the information. Run it anyway if your hubs receive.

It can be corrected, and the correction is recorded rather than silently applied. This is a real situation — something goes up the ramp at the last minute and the paperwork catches up in the morning. What KO Fleetz will not do is let the manifest be quietly rewritten to match whatever arrived at the hub, because a document that always agrees with the outcome proves nothing. The amendment shows as an amendment, with a time and a person against it.

Not by itself. A manifest is a list of what is loaded; it has no position in it. Location comes from the trip and, if the vehicle carries a tracker, from live tracking. Plenty of vehicles in a working Indian fleet have no tracker fitted at all, and a manifest is exactly as useful on those as on the tracked ones, because what it answers is what is aboard rather than where aboard currently is.
